how to get responses
At Programming
Take 10 minutes at the end of practice to encourage participants to complete the survey. Youth with phones can take it directly on their device.
Email (Newsletters, standalone)
Put your unique graphic and link into every reminder you send to families, encouraging their child take the survey.
Team Management Platform
Utilize platforms like TeamSnap and LeagueApps to communicate with parents and youth about taking the survey.
Utilizing Incentives
Have a parent or young person email you a screenshot of the completed survey page or show you in-person. The survey does not track any personally identifiable information, so you will need to collect name separately.
Examples of incentives:
Raffles — respondents could be entered in a raffle to win a gift card, free tickets, valued swag item, etc.
Discounted registration — each respondent could receive $XX amount off next season’s registration fee.
In-PERSON EVENTS
If you have any in-person community events coming up, that is a great opportunity to get the survey in front of young people (ages 10-17).
Set-Up
Table and chairs
Ideally having two or more staff members at a table
Print out custom flyers (found in the portal) with the QR code
Whether the tabling event is indoors or outdoors, keep in mind volume level to communicate with parent/guardians and answer questions
Utilizing Incentives
Such as food, team gear (e.g. headbands, towels) or other swag
Allow respondents to enter a raffle for a larger incentive (e.g., gift cards, discount on next season’s registration)
To ensure anonymity: After someone has taken the online version of the survey, they must show the staff member the landing page after it’s completed, or they hand their paper copy of the survey to the staff member. Their parent guardian then receives a slip of paper that asks for the parents’ full name, child respondent’s first name only, phone number, and email to be entered to win the raffle prize.
Survey Administration
Encourage parents to allow youth to take the survey on their cellphone.
This works well when families are waiting in lines.
If there is wifi access and available technology, such as tablets or laptops, this is the easiest way to administer the survey.
